The good news? You don’t have to learn every single function. In fact, mastering just 70 key functions can cover most of what you need for business analysis. By focusing on the essentials, you can simplify your learning and make Excel work for you without the stress of trying to know it all.

If you’re struggling with Excel for business analysis but not ready to dive into a course just yet, here’s a more detailed guide you can follow on your own: 

  1. Identify Key Tasks: Start by listing the tasks you do most often in Excel, such as analyzing sales data, creating reports, or managing budgets. This will help you focus on the functions that matter most to your work. 
  2. Learn the Basics First: Master these essential functions that apply to nearly every task: 
    • SUM: Adds up numbers in a range. 
    • AVERAGE: Calculates the mean of a set of numbers. 
    • MIN/MAX: Finds the smallest/largest value in a range. 
    • COUNT/COUNTA: Counts the number of cells with numbers or non-empty cells. 
    • IF: Performs a logical test and returns one value for TRUE and another for FALSE. 
  3. Expand with Logical Functions: These help you make decisions in your data: 
    • AND/OR: Combines multiple conditions. 
    • IFERROR: Returns a value you specify if a formula evaluates to an error. 
    • SUMIF/SUMIFS: Adds cells based on one or multiple conditions. 
  4. Get Comfortable with Lookup and Reference Functions: These are essential for finding and linking data: 
    • XLOOKUP: Searches for a value in a table and returns a related value, either vertically or horizontally.
    • INDEX/MATCH: A more flexible alternative to VLOOKUP for finding data. 
    • CHOOSE: Selects a value from a list of options. 
  5. Handle Dates and Times Efficiently: Managing dates and times can be tricky, but these functions make it easier: 
    • TODAY/NOW: Returns the current date or date and time. 
    • DATE: Creates a date from individual year, month, and day components. 
    • DATEDIF: Calculates the difference between two dates. 
    • WORKDAY: Returns a date that is a certain number of workdays away. 
  6. Master Text Functions: These help you manipulate and format text: 
    • CONCATENATE: Joins text from multiple cells. 
    • LEFT/RIGHT/MID: Extracts a specified number of characters from text. Use TEXTSPLIT/TEXTBEFORE/TEXTAFTER if you have MS 365. 
    • TEXT: Formats numbers or dates as text. 
    • TRIM: Removes extra spaces from text. 
    • LEN: Returns the number of characters in text. 
  7. Visualize Your Data with Charts and Tables: Functions that help with organizing and visualizing data: 
    • PIVOT TABLE: Summarizes large sets of data. 
    • CHARTS: Excel offers various charts (like bar, line, and pie charts) to represent data visually. 
    • TABLE: Converts a range of data into an organized table that can be easily filtered and sorted. 
  8. Use Financial Functions for Business Analysis: If your work involves finance, these functions are must-haves: 
    • PMT: Calculates the payment for a loan based on constant payments and interest rates. 
    • NPV: Calculates the net present value of an investment based on a series of cash flows and a discount rate. 
    • IRR: Returns the internal rate of return for a series of cash flows. 
    • FV: Calculates the future value of an investment based on periodic, constant payments and a constant interest rate. 
  9. Optimize Data Analysis with Advanced Functions: For more complex tasks, these functions will help you dive deeper into your data: 
    • RANK: Ranks numbers in a list. 
    • TRANSPOSE: Converts rows to columns or vice versa. 
    • SUBTOTAL: Returns a subtotal in a list or database. 
    • TEXTJOIN: Combines text from multiple ranges and includes a delimiter. 
  10. Practice Regularly: Spend time each day practicing these functions with real data. Whether it's data from your work or a personal project, hands-on practice is the key to becoming proficient.
